Each level is its own class
Make a class for each level, from beginners to the squad, or one for each age group. Each has its own weekly lessons and its own number of places, set to what your instructors can teach safely in the water, and a lesson never takes more swimmers than that. Parents see only the classes they joined, and a parent with children at two levels joins both classes from one link.
School holidays and pool closures, entered once
Enter each school holiday once, or a week the pool closes for maintenance, for every class or only some. Lessons on those days are off, parents who had booked are told, and those bookings do not count toward their weekly limit. Lessons start again the day after. If you run a catch-up lesson during a break, add it on that day, and parents are told they can book it.
Reminders before every lesson, in each family’s language
weekbase reminds parents of each lesson they booked: two hours before, or the evening before an early-morning lesson. Each person chooses their own language from 17, and sees weekbase, its reminders and its emails in that language, while you keep yours.
Questions people ask
Who books, the parent or the child?
The parent, from their own account: weekbase accounts are for adults. In each class, an account books one place per lesson and one lesson per day, and everything it books counts toward one weekly limit. So two children in the same class need two accounts, such as one for each parent. Write each child’s name in the parent’s private notes, which only you can see.
Can other parents see who is booked?
Only if you choose to show names. Otherwise other members see that a place is taken, not who took it, and they never see another member’s photo. You see every name, and so do the team members you allow to.
Can instructors take attendance at the pool?
Yes. Invite them with the class’s team code, which is separate from the parents’ link. They see the schedule from the start. Switch on “See attendee names” and “Run the session”, and they can see who is booked, mark who came, cancel a no-show and book in a family who turns up without a booking. Every other permission stays off until you switch it on.
What if a child is ill?
The parent cancels the booking, any time before the lesson starts, and the place opens up for another swimmer. If you set a cancellation cutoff, cancelling after it still counts toward that week’s limit.
What does weekbase cost a swimming school?
Nothing. Every class, every family and every booking is free, with no trial that runs out and no card to enter. weekbase does not take or process parents’ payments, so it takes no cut of them.
