Each group is a class with four places

Make a class for each level: beginners, intermediate and advanced. Give every weekly session the number of players one coach and one court can take, usually four, and weekbase stops taking bookings when it is full. Players see only the groups they joined, and a player who trains at two levels joins both from one link.

Coaches see their sessions and check players in

Invite each coach with the class’s team code, which is separate from the players’ link, and put them on the sessions they run. Players see who is coaching when they open a session, and each coach gets a morning email on days they have sessions. Switch on “See attendee names” and “Run the session”, and a coach can see who is booked, mark who came, cancel a no-show and book in a player from the group who turns up. Every other permission stays off until you switch it on.

Players book the sessions they pay for

If a player’s plan covers two sessions a week, a weekly limit of two holds them to it, and you can change the limit for one player. A player can book one session a day in each group. Set each player’s renewal day, and weekbase reminds them the day before it is due; or count the sessions they have paid for, and each booking uses one. Payment itself stays between you and your players.

Questions people ask

Can players book a court by the hour?

No. weekbase runs sessions that repeat every week at set times, with a set number of places, such as coaching groups, academy classes or a weekly social match night. For booking courts by the hour, keep a court booking system alongside it.

Can players from other groups fill empty places?

Yes, with Open Pass. Pick the players and the groups they may book. Every Sunday at 18:00, or on the day and at the time you choose, weekbase lets them book the next week’s open places in those groups and tells them by email and app notification. Groups they already train in stay as they are.

What if a player cannot make it?

They cancel the booking themselves, any time before the session starts, and the place opens up for another player. If you set a cancellation cutoff, such as 24 hours, cancelling after it still counts toward their weekly limit.

What does weekbase cost a padel club?

Nothing. Every group, every player and every booking is free, with no trial that runs out and no card to enter. weekbase does not take or process your players’ payments, so it takes no cut of them.
