weekbase or a sign-up sheet: which suits your weekly classes?

A spreadsheet, or a sheet of paper at the door, costs little or nothing and does exactly what you tell it. weekbase is free, and keeps the list for you: members book their own places, a full session takes no more bookings, and a cancelled place opens up for someone else.

weekbaseSpreadsheet or paper
Who is comingEach session shows who has booked and how many places are left.

The names on the sheet, once people have added them or you have copied them in.

Full sessionsEach session has a set number of places, and bookings stop when they are taken.

You count the names and close the session yourself.

Sessions per memberGive the class a weekly limit and change it for one member; weekbase checks it on every booking.

You count each member’s sessions by hand.

CancellationsMembers cancel their own bookings until the session starts, and the place opens up for someone else.

Someone crosses out their name, or asks you to; others find the free place when they next look.

RemindersMembers are reminded before each session they booked, by notification or by email, whichever they choose.

None, unless you send them yourself.

Phone numbersMembers never see each other’s numbers. You see them, and so do team members you allow to see your members.

Seen by everyone who can open the sheet, if you keep them on it.

AttendanceYou, or team members you allow, mark who came at each session, from a phone at the door.

Ticked off on the sheet, and kept if you save each week’s copy.

Price€0. Every member, class and booking is free, with no card to enter.

Little or nothing.

When a spreadsheet or paper is the better choice

  • People simply turn up, there are always enough places, and a sign-in sheet at the door is all you need.
  • You want your own columns, totals and charts, which a spreadsheet lets you build however you like.
  • Some members have no email address, which a weekbase account needs, and paper works for everyone.

Questions people ask

Do I have to copy my list into weekbase?

No. Share your invite link or QR code, and each member signs up, joins your class and books their own places. Your list of members fills itself in as they join.

Can weekbase count the sessions each member has used?

Yes. Give the class a weekly limit, such as two sessions, and weekbase checks it on every booking. Change it for one member whose plan is different. If you set a cancellation cutoff, a cancellation after it still counts toward that week’s limit.

Can I still tick people off at the door?

Yes. Open the session on your phone and mark who came. Team members you allow can do it too, and can also cancel a no-show and book in a member who turns up.

What does weekbase cost?

Nothing, like a sheet of paper. Every class, member, team member and booking is free, with no trial that runs out and no card to enter. weekbase does not take or process your members’ payments, so it takes no cut of them.
