Pilates class booking with one place for every reformer
Match each session’s places to the reformers or mats in the room, let every client book the sessions their package includes, and decide whether a late cancellation still counts. Clients book and cancel on their own, from your invite link.

Places match the equipment in the room
Give every weekly session as many places as the room has equipment for: six for a reformer session, twelve for a mat class. When the places are gone, the session is full, and nobody can book past it, not even you at the front desk. Clients book a place in the session, not a particular machine.
Each client books what their package includes
If most clients buy two sessions a week, give the class a weekly limit of two, and weekbase checks it on every booking. Change it for the client who comes once a week, or three times. Set each client’s renewal day, and weekbase reminds them the day before it is due; or count the sessions they have paid for, and each booking uses one. Payment itself stays between you and your clients.
Late cancellations still count
A place given up an hour before a class of six is hard to fill. Clients can still cancel on their own until the session starts, and the place opens up for someone else. Set a cancellation cutoff, such as twelve hours: cancel before it and the booking no longer counts, cancel after it and it still counts toward that week’s limit.
Questions people ask
Can two clients book the last place at the same time?
No. weekbase takes the bookings for a session one at a time, so the last place goes to whoever books first, and the next client sees that the session is full. If someone cancels, the place opens again for anyone in the class to book.
Can my instructors check clients in?
Yes. Invite them with the class’s team code, which is separate from your clients’ link. They see the schedule from the start. Switch on “See attendee names” and “Run the session”, and they can see who is booked, mark who came, cancel a no-show and book a client in at the front desk. Every other permission stays off until you switch it on.
Can I pause a client who is injured or away?
Yes. Switch on “Suspend booking” on their member page, and they cannot book new sessions until you switch it off. Sessions they had already booked stay booked, so cancel any they will miss.
Can a new client try a week of classes first?
Yes. Send them a one-week link for the classes you choose. They book that week up to your weekly limit, and their access ends by itself after Sunday. If they buy a package, make them an ongoing member in one tap.
What does weekbase cost a pilates studio?
Nothing. Every class, every client and every booking is free, with no trial that runs out and no card to enter. weekbase does not take or process your clients’ payments, so it takes no cut of them.
